Clinic Coordinator (Independent Contractor) Hybrid Role

Who We Are Looking For

We are currently seeking a proactive and highly organized Clinic Coordinator to join our team. You’ll play an essential role in supporting the day-to-day operations of the clinic while contributing to a mission that matters.

This is an Independent Contractor position (20 hours per week to start), with the potential to grow into a full-time role as the business expands. It’s ideal for someone looking to build a long-term relationship with a small but growing mental health team. You’ll provide daily support (Monday–Friday), with flexibility to manage administrative needs. Availability between 9:30 AM – 3:00 PM MST is essential to support our team in real time, and we are open to further discussion to ensure we can meet your needs and ours.

You’d Be a Great Fit If You:

•     Are extremely organized, detail-oriented, and a natural problem solver

•     Communicate with warmth, compassion, and professionalism

•     Thrive in fast-paced environments and work independently with ease

•     Are proficient in Jane App, Microsoft 365 (including SharePoint), and Canva

•     Bookkeeping experience using QuickBooks software is an asset

•     Have experience supporting mental health or healthcare professionals

•     Are based in Calgary or surrounding area

•     Are comfortable handling confidential client information and adhering to PHIPA/HIPAA standards

  • Daily:

    •     Manage clinic inbox (client communication, forwarding messages, follow-ups)

    •     Maintain and update client files and tasks in Jane App

    •     Review new intakes and connection calls for follow-up actions

    Weekly:

    •     Review Accounts Receivables and follow up on failed payments and outstanding invoices

    •     Payment tracking and reconciliation

    •     Ensure consent forms and documentation are complete

    •     Bookkeeping tasks using QuickBooks software (experience will be considered an asset)

    •     Support profile maintenance for couples/families

    •     Reach out to clients who haven’t rebooked post-consultation

    Monthly:

    •     Prepare and submit 3rd party invoices for billing

    •     Attend team meetings (in-person)

    •     Follow up regarding any contractor invoice discrepancies

    •     Update and maintain announcements on SharePoint, website, and social media

    •     Maintain and update 3rd party clients regarding groups and availability

    Quarterly:

    •     Prepare unscheduled visits reports

    •     Draft and send quarterly newsletter via Squarespace

    Ad-Hoc:

    •     Update Jane App templates and forms

    •     Assist with onboarding of new therapists

    •     Order and maintain clinic stocks and supplies

    •     General care and upkeep of clinic environment

    •     Support social media scheduling and Canva-based content creation

    • Hybrid role: 2 in-office days per week, remaining hours remote

    • Flexible daytime hours

    • Monthly in-person team meetings (1 Thursday/month, 11:30 AM–1:30 PM)

    • Quarterly evening business meeting
